Everything you need in one virtual machine

VQ Conference Manager and all its dependencies come packaged as a single virtual machine (VM). This includes the Elastic-based Analytics platform.

Having a single VM removes the complexity of installing, configuring, integrating, maintaining and updating multiple components.

The licenses required for all the dependencies are also included in the price you pay for VQ Conference Manager, thereby providing commercial as well as technical simplicity.

VQ Conference Manager can operate from a single VM, or from a multi-node cluster for high-availability*.

Email notifications for new or changed users

Every time you sync your conferencing service with your Active Directory system, VQ Conference Manager sends out an email to every new or changed user.
This can be customized to include all the information they need to access the service, such as:
• Their username
• URL for the VQ Conference Manager web portal
• The user roles available in their virtual meeting Space(s) (such as chair and participant)
• The details they require to dial into their Space as the different roles
• Joining instructions, including for video systems, desktop and mobile clients or telephone
• Further help and support desk contact details
• Any other information you wish to include
Automating the provisioning process removes a time consuming task for the operations team, reduces the risk of errors and gives the users the information they need to use the service.
VQ Conference Manager includes a standard HTML email template, which can be customised to include your own content and branding.

Drag-and-drop upgrades

Upgrading VQ Conference Manager – and all its dependencies – is a simple drag-and-drop process. The virtual machine includes the software and all its dependencies, pre-installed, integrated and tested.

This minimizes the work required by your administrators, who aren’t required to integrate and maintain multiple elements.

Dial plan tooling

VQ Conference Manager includes tooling that gives you control of the addresses, numbers and identifiers used for your calls. This enables customers to work within existing dial-plans and provides users numbering consistency making it easier to use and therefore increases adoption.

This includes URI and Call ID range generators, random generators and Role level control of PINs, URIs and Call Ids.

Define the user interface experience for different users

User interface profiles enable you to give different user groups the tools they need to use your service effectively. They define which capabilities and settings are available to a particular individual when they log into the VQ Conference Manager web portal, or use the Outlook Add-in, Outlook Plugin or Jabber extension.

VQ Conference Manager comes with three pre-configured user interface profiles, which will cover the majority of users:
• Administrators
• Call operators
• End users

Administrators can also create custom user interface profiles, to tailor the experience very precisely to the needs of specific groups.

Automated user and Space updates/removal when Active Directory/LDAP changes

VQ Conference Manager integrates with your corporate Active Directory/LDAP system, provisioning users and their virtual meeting Spaces based on attributes in the LDAP tree. It can be configured to sync periodically.

As a result, whenever someone changes roles, or you adjust your LDAP tree configuration, the conferencing experience automatically updates accordingly.

If this change results in different login details, access to a new type of Space or another fundamental change, the users in question are automatically sent an email notification, with their updated details.

Furthermore, when individuals leave your organization and their corporate user accounts are removed, their conferencing access is revoked during the next sync.

Automated user and Space provisioning via Active Directory/LDAP integration

VQ Conference Manager integrates with your corporate Active Directory/LDAP system. Provision users and their virtual meeting Spaces based on attributes from your LDAP tree.

Configure provisioning to run periodically, meaning once new joiners’ corporate user accounts are set up, their access to your conferencing system automatically follows. No more manually entering people’s details into two systems.

Our email notification tool automatically sends new users all the details they need to start using your conferencing service.
